Your use of the ecoforestlife.ro website, as well as the directing of funds (donations, sponsorships) to us, your volunteer activities and the subsequent processing by us (Eco Forest Life Association) of personal data, under the conditions and for the purposes set out in this information notice.
Types of data we process
Identification data: name, surname, date of birth and place of birth, identity card number and series, personal numerical code, authority issuing the identity card, home address, gender, language.
Contact data: telephone number, email address, your social media profiles, to the extent that you decide to contact us through them.
Bank details: bank account.
Data related to volunteering activities: picture, name of the minor, if as a volunteer you are responsible for him/her.

In order to carry out our basic activities, namely the collection of funds, we carry out accounting activities, such as issuing receipts, invoices, keeping accounting records and managing the history of the amounts received.

What data do we use?
In order to manage donations / sponsorships / tax forwarding, we use name, surname, phone number, email address and bank data, as appropriate, depending on the data collected and transmitted to us by the partners mentioned in point 1 of May above.
How long do we keep your data?
In order to be able to prove the relationship we have with you, we keep the personal data processed in order to execute the donation/sponsorship contract for a period of three years from the moment of making the donation. In this sense, proof of donation, where applicable, and other documents and information about the status of payments.
Also, for tax reasons, we are obliged to keep the accounting records and the supporting documents underlying the entries in the financial accounting for 10 years from the time of registration.

The data processed for this purpose are not disclosed to other persons.

For volunteer activities
You can participate in volunteering either individually or through your employer.
If you participate in volunteering actions individually, we will conclude a volunteering contract in accordance with legal requirements.
Participating in our volunteering activities through an employer requires us to create attendance lists.
In order to participate in activities as a volunteer, regardless of whether it is an individual participation or through the employer, it is necessary to be aware of and accept the provisions related to safety and health at work. Thus, each volunteer will sign, after being briefed on safety and health at work, the minutes of acknowledgment and acceptance of the working conditions. Also, each volunteer will sign for receiving tools and work equipment.
During the reforestation activities with volunteers, we will make photo and video images that will be displayed on our social media pages.
What data do we use?
For the logging activity with individual volunteers, we use identification data and contact data, and for guardians with minor children, also the names of the minors.
For the recording activity of afforestation with volunteers through the employer, we use name, signature, e-mail address, and for guardians with minor children, also the name of the minors.
For the photo-video recording activity, we use the image of volunteers, including minors under the care of volunteer guardians.
How long do we keep your data?
If we conclude a volunteer contract, we will keep the personal data contained in it for the duration of the contractual relationship mentioned in the contract and for a period of 3 years after its termination.
We keep the lists of attendance and acknowledgment and acceptance of occupational health and safety rules for 3 years.
Images published on social media channels will be kept for one year. Certain images may be selected to be part of presentation/marketing materials to be used for up to five years. These materials will then be archived.
Do we disclose your data?
We do not disclose the information from the voluntary contracts concluded, the attendance lists and the acknowledgment and acceptance of the safety and health rules at work, except to the authorities in charge of controlling these data, at their request.
The photo-video images recorded during the afforestation actions will be shared on our Facebook page. Additionally, certain images selected and incorporated into Eco Forest Life Association presentation materials may also be shared on our LinkedIn page and our Youtube channel. These images will also be shared with your employer, if you have reached the action through your employer.
The legal basis for the processing of this data
For the conclusion of the contract with individual volunteers, the legal basis for data processing is the conclusion and execution of the contract.
For the processing of the data of the volunteers present at the actions through the employer, the legal basis for processing is our legal obligation, for the creation of the occupational health and safety acceptance lists, and for the e-mail address, the legitimate interest.
In the case of all volunteers participating in volunteering actions, we have the legal obligation to carry out training on occupational health and safety, so the legal basis for this processing is the law.
Regarding the photo-video images recorded during the afforestation actions, their capture and publication are done with your permission when they are individual images (portraits). Should we wish to use certain individual images for incorporation into Eco Forest Life Association's presentation materials, we will ask for your permission beforehand. Group images are captured and published based on our legitimate interest in publicizing afforestation actions.
If you don't want to be photographed you can make this clear to the photographers, and you can also not join photographed groups. For any requests to delete photos from our social media pages, you can contact us using the email address contact@ecoforestlife.ro.
For marketing and information activities
In order to promote the activity of our Association, we make communications related to its activity, such as activity reports.

To analyze our activity, for the annual reports of the Eco Assist Association and to help us make the volunteering and donation process easier to access for interested persons, we extract, anonymize, combine and aggregate your data with those of other donors or volunteers, as appropriate, to get a statistical picture of our volunteer and donor base.

We will keep statistical reports for as long as necessary for their use.

The results of the statistical reports (which do not allow identification of your data or your individualization) and the analyzes based on these reports are not disclosed to third parties.

Data Access: You can request a copy of the personal data we hold about you.
Rectification of data: if the data we hold about you is inaccurate or incomplete, you can request its rectification.

Depending on the legal basis of the processing, we will analyze the request, the factual situation, as well as the applicable legal provisions and we will return within the legal term with details about the implementation of the request.

Deletion of data: you can ask us to delete the personal data we hold about you, through a written notification on paper or email. We will analyze the request in accordance with the reasons justifying the request and will return within the legal term with details about its implementation. As a general approach, upon expiry of the data retention periods as identified above, your data will either be deleted or anonymised.
Restriction of processing: You can request restriction of processing. We will analyze the request in relation to the cases of restriction provided by law and we will return within the legal term with details about its implementation (this is a new right according to the Regulation).
Withdrawal of consent: if you have given your consent for data processing, you will be able to withdraw it at any time, through a written notification on paper or email. We will register the withdrawal without undue delay.
